Job Description

Business Office Administrator Location Hybrid remote in Falls Church, VA :

Provides coordination, support, and cohesiveness to the Falls Church office for CWS. Manage the day to day needs of a Hybrid working environment by taking ownership of activities, deliveries, and deliverables. Organize meetings and events, coordination with vendors, and internal teams to ensure the success of every activity. Provide administrative, project, and accounting support to our Accounting / Finance Group, Business Development Team, and our CEO.

This role will be Hybrid in nature, with a typical schedule of M / T / TH in the office and working remotely on W / F, some variation on this may be possible.

Key Tasks and Responsibilities

Office Administration:

  • Manage the day-to-day activities of the Falls Church office environment, including coordination of mail or deliveries, ordering of supplies, scheduling of any maintenance, manage office access cards, and invoice review for office expenses
  • Coordinate logistics and IT related issues for the office, employees, and supported vendors
  • Provide a main point of contact for the Falls Church office
  • Provide notary services as needed
  • Plan and manage the holiday party, employee recognition activities, and other corporate events
  • Coordinate the logistics for conferences, registrations, and exhibits
  • Manage renewal process for LLC's, passports, memberships, and certifications
  • Administrative and reporting support for CWS subsidiaries, LabSavvy Health, and CWS Mentor-Protégé organizations

Facility and Property Management:

  • Serve as point of contact for real estate holdings
  • Coordinate repairs for real estate holdings as needed
  • Data entry into QuickBooks for real estate holdings
  • Accounting and Bookkeeping support
  • Coordinate with Accounting / Finance to achieve reporting for office and real estate holdings to the CEO
  • Manage company or property settlements and lease agreements
  • Draft legal documents, correspondence, real estate leases, and closings
  • Assist in market analysis of rental and property listings

Executive Support: (limited Scope)

  • Coordinate CEO's schedule and activities with family activities
  • Schedule vehicle maintenance, travel arrangements, or personal appointments
  • Process expense reporting, AMEX purchases, and time entry coordination for the CEO

Job Requirements:

Education & Experience

  • Bachelor's Degree preferred
  • 5+ years of related experience and/or knowledge of administration and office management practices and procedures
  • Comprehensive knowledge of Microsoft Office applications (Word, Power Point, Excel, Outlook and Visio etc...)
  • Proactive, self-motivated, organized team player with a high sense of urgency and ability to handle multiple projects
  • Possess a positive, friendly, and professional demeanor
  • Public Notary (or ability to become one)
  • Access to transportation for an occasional errand

  • Potential local travel is associated with this position
